Data recording

FileDirector incorporates a wide range of data in the blink of an eye

FileDirector records electronic documents every bit as flexibly and quickly as paper documents. The particular format and source are not an issue. No matter what applications your business uses ?with the help of our tools, you can very quickly create interfaces to FileDirector. FileDirector integrates out of the box with Microsoft Office and Windows Explorer, meaning that electronic documents can be sent and catalogued there via mouse-click. Information such as filenames and date are recorded by the software, along with the sender or subject-line of e-mails.

FileDirector offers the same powerful functions for paper documents too: one and the same application allows the user to record documents and search them in an already-digitised format. This means that users work at all times with a familiar application, regardless of whether they are searching or recording documents originally in digital or non-digital format ?something that is a huge benefit in ease of use.

Scanning:

FileDirector works with a wide range of scanners and input devices, since FileDirector is compatible with the ISIS (Image and Scanner Interface Specification) and TWAIN industry standards.

The content of designated document zones can be used to index documents. FileDirector recognises these zones automatically during scanning and evaluates the content using zonal text recognition. This simplifies the time-consuming work of creating the index significantly. In addition, values such as time data or numerical fields can be recorded automatically.

The FileDirector Windows Client is used both in recording and searching documents. This means that only one application is required for both tasks. Freely-definable scan profiles simplify read-in, by having pre-sets matched to the respective end-device. In addition, the profile contains information for archiving particular document types and categories.

Not only can the client generate documents, but they can also add new pages or replace existing ones.

 

 

Microsoft Office integration

FileDirector integrates seamlessly into Microsoft?Office products such as Word? Excel?or Outlook? At the same time, the software also integrates with Windows Explorer, so that all commonly-used Windows functions can interact with FileDirector.

A mouse-click is all that抯 needed to send documents to FileDirector. If the document is to be indexed immediately, information such as filename or creation date can be recorded automatically. If required, of course, the document content can be indexed using full text recognition.

E-mails archived in Microsoft Outlook can be indexed fully automatically using the existing details such as recipient, sender or subject line. The content of e-mails, and even of their attachments, can also be input into the full text index.

 

 

MailStore

The MailStore option in FileDirector automatically processes e-mails sent and received from an e-mail server via SMTP. E-mails can be sorted and indexed by subject line, recipient or sender. For this, wide-ranging criteria can be specified for each of the categories such as name and address of sender and recipient, or subject line.

To ensure that FileDirector only processes e-mails that have previously been checked by virus scanners and spam filters, a priority can be set for the MailStore process.

 

 

Importing documents and data, integration of multifunction printers

FileDirector imports practically any imaginable data sources, working in combination with Windows clients and servers: the Client can import documents via a scan profile from any data source. This is advantageous, for example, if a scanner used jointly in a network (as is the case when a component in a multi-function device - MFD) stores data in a particular directory. The Client can similarly import documents whose index data is stored in a separate index file. Documents are saved in their original format.

On the server side, various functions are used to import files, files and index data, or just index data. In addition, spool data existing as text or XML file can be imported, the index data can be extracted and imposed on an image or an XML template.

 

 

ImagePrinter

FileDirector ImagePrinter is a Windows printer driver allowing printing from any Windows application to FileDirector. The driver converts documents either into TIFF or JPEG files, depending on the content of the printed file.

 

 

Virtual network printer (VNP)

The virtual network printer (VNP) converts printed data into image files and then saves them to a predefined directory. The data can be imported and archived from this directory using a schedule-based FileDirector service running in the background. As an example, accounting software can automatically send the print data at the same time as the normal print request to the VNP, without the user needing to arrange extra settings or even initiate a duplicate print request. Naturally, users can also print and archive directly via VNP, thereby saving paper. By setting up a number of VNPs, different data can be archived in different FileDirector cabinets and document types.

If forms with a standard format are being printed (such as invoices or delivery notes), the OCR function's form recognition identifies the index data automatically.

 

 

Customised recording process

FileDirector offers a wide range of development and integration tools. Using these, software developers can incorporate recording options into many applications. It does not matter whether these are in-house solutions or applications from third-party providers, such as materials management or CAD software.
